Questions from organizations
How much does StatZone cost?
There's no platform fee. Processing fees apply when families pay you, and you choose, activity by activity, whether to pass them on to families: 2.99% + $0.79 per card transaction, 1.99% + $0.79 per ACH transaction, and 3.49% + $0.79 per PayPal/Venmo transaction. Tryout tools, certification & document collection, and evaluations and surveys are free once your organization processes enough through StatZone (see pricing for details →). Add-ons include Team Communications ($59/team/year), Video Review & Statistics ($299/team/year; requires a Team Communications subscription), websites (Basic $99 setup + $9.99/mo or $99.99/yr, with the monthly or annual fee waived once your organization processes enough through StatZone; Premium $199 setup + $24.99/mo or $249.99/yr), and full-service league scheduling (from $9.50/team, $125 minimum). Is there a contract or long-term commitment?
No. StatZone has no platform fee and no long-term commitment.
Which tools are free, and when?
It depends on how much your organization processes through StatZone each year. Tryout tools, certification & document collection, and evaluations and surveys each become free at a set processing level, listed on our pricing page. The Basic website's monthly or annual fee is waived at a level listed there (the $99 one-time setup fee still applies). Below those levels, the per-use prices on that page apply. Premium websites, Team Communications, Video Review & Statistics, and league scheduling are always priced separately.
How quickly can we get started?
You can be live in under 24 hours, with everything fully set up and registration open. After your demo, we run an onboarding session with your organization to set up StatZone using best practices: your registrations, pay plans, and volunteer requirements.
Is StatZone only for hockey?
No. Youth hockey is our core, but StatZone serves youth sports organizations of all kinds, including soccer, baseball and softball, lacrosse, football, and basketball, as well as school activities. Any US-based program can use StatZone; the only requirement is that your organization is in the US.
How does StatZone work with USA Hockey?
During registration, StatZone verifies that a player's USA Hockey membership is valid and matches the registering participant. For coaches and volunteers, StatZone checks uploaded SafeSport certificates for authenticity and updates their expiration dates. USA Hockey CEP level isn't verified automatically.
Can families pay in installments?
Yes. You can build fully customizable payment plans, families can pay online 24/7, and StatZone sends a reminder a few days before each installment (payment method, amount, and date), a receipt when it posts, and a notice if it fails, with an automatic retry after a few business days for soft failures. Plans are dynamic: the remaining balance is divided over the remaining installments, so an extra payment, a missed payment, or a credit recalculates the rest automatically. You can also set up offline payment plans that send reminders without charging anyone.
Can we track credits members have earned?
Yes. StatZone manages member credits and applies them to tournaments, tryouts, and other fees or activities, so you don't need a separate spreadsheet. Credits usually come from fundraising, and sometimes from volunteering as a coach or manager or from sibling discounts. They carry over from year to year, and both the member and your admins can see the balance.
We're on SportsEngine, Crossbar, TeamSnap, or another platform. How hard is it to switch?
There's no platform fee and no commitment. Our onboarding session gets you set up using best practices, and you can be live in under 24 hours. If you're moving your website too, our Website Conversion service migrates up to 15 pages for $499 ($75 per additional page), completed in 1–2 weeks. Want to compare costs first? Send us your current processing statement and we'll show you what you'd pay with StatZone. See the side-by-side comparison
Does StatZone handle background checks and clearances?
StatZone collects and tracks the clearances, background checks, and certifications each volunteer role requires, notifies your compliance officer of updates, and lets volunteers store their certifications and copy them between organizations. It checks uploaded SafeSport certificates for authenticity and updates their expiration dates, and checks AAU membership details against AAU's servers. Your compliance officer approves or rejects other documents.
Is there a mobile app?
Yes. The StatZone app is on the Apple App Store and Google Play, and families can sync team schedules to their own calendars.
What kind of support do you offer?
Real people, based in Pittsburgh, PA, starting with your onboarding session. Call 412-360-8471 (if we miss you, leave a message and we'll get back to you promptly), email support@stat.zone, or use our contact form.
Can we sign up our organization ourselves?
Yes. Click Start your organization, then create your StatZone account or log in. An account is required to own an organization. You'll go straight to new-organization sign-up. Most organizations still start with a demo and onboarding session, and you can book one any time.
Which cards can families use?
All major cards accepted, including American Express. The card rate is 2.99% + $0.79 per transaction, whichever card a family uses.
Can you move our data from our current platform?
Import participants from a CSV you prepare; nothing transfers automatically from another platform. Anything else you're carrying over is entered manually, and we're happy to help. Moving your website too? Website Conversion converts your existing website (up to 15 pages) into a StatZone-hosted site; it doesn't include rosters or accounts. It costs $499 ($75 per additional page), completed in 1–2 weeks.
Can we switch in the middle of a season?
Yes. Organizations can and do switch mid-season, though most start with tryouts.
Who pays the processing fees, the organization or families?
You decide. Each organization chooses whether to pass processing fees on to families or cover them itself, and you can decide activity by activity, so each registration, tryout, or event works the way your board wants.
How do you keep our documents and payment information secure?
StatZone's privacy policy states: "Our Services utilize encryption technology to protect Personal Information that we transport across the internet. Accounts are password protected with restricted access." Your data is encrypted in transit and at rest.
Can we export our data if we leave?
Yes. You can export your organization's data any time. That's also handy when you need to share information with another organization: for example, if your local scholastic league requires birth certificates, you can collect them in StatZone and export them to send to the league.
What does StatZone work with?
The StatZone app is on the Apple App Store and Google Play. Families can add team schedules to the calendar app they already use with an iCal link. Payment processing is built in, so there's no separate processor to set up. You can import participants from a CSV you prepare, and export payment transactions, registrations, team participants, tryout participants, and more to CSV, and import the transactions into QuickBooks. On your existing website, link to your StatZone activities page, where families add items to a cart and check out, and embed tryout updates, like which players got callbacks or team invites. Receipts show your website's address. StatZone also checks uploaded SafeSport certificates and updates their expiration dates, checks AAU membership details against AAU's servers to confirm they're valid and match the participant, and sends live streams from the StatZone app to YouTube as unlisted videos, viewable only by people with the link and not shown in YouTube search. For USA Hockey membership verification, see Q6.
Can families pay with PayPal or Venmo?
Yes, if you want them to. Want to offer PayPal or Venmo? Turn it on. Prefer not to? Turn it off. PayPal/Venmo payments are 3.49% + $0.79 per transaction, and you still choose, activity by activity, whether to pass processing fees on to families.
Can we register players before our fees are final?
Yes. Register players with estimated fees. Families can accept their spot and set up a payment plan on the estimate. When your treasurer finalizes the price, change the amount due: families are notified of the finalized price automatically, and dynamic pay plans recalculate their remaining installments. It's especially handy in hockey, where tryouts are in the spring and ice costs often aren't set until later in the summer.
